Automatic follow-up email in Outlook: what works

By Shawn Gregoire, founder of Capstone Outreach. Outlook steps checked October 2026 against Microsoft Support.

The short answer. Outlook can't send a follow-up on its own when someone doesn't reply. It can remind you to follow up, send a message later, and auto-reply to mail you receive.

To have the next email ready when they don't reply, connect a follow-up tool to your Outlook account. Capstone Outreach drafts it from your conversation. You approve it, and it sends from your own Outlook. A reply stops it.

What Outlook can do on its own

Outlook has three tools people reach for. Each one helps, and none of them sends the next email when someone goes quiet.

1. Flag the email with a reminder

In Outlook for Microsoft 365 on Windows, do this before you select Send. On the Message tab, in the Tags group, select Follow Up. Pick Today, Tomorrow, This Week, Next Week or Custom.

In Outlook.com, hover over a message and select the flag. With a Microsoft 365 account, right-click the flagged item and select Add reminder.

A flag reminds you. It does not write or send anything. Microsoft's steps: Flag email messages for follow up.

2. Schedule the follow-up to send later

In new Outlook, select the arrow next to Send, then Schedule send. The message waits in Drafts until the time you picked.

In classic Outlook for Windows, open the delivery options and tick Do not deliver before. The message waits in your Outbox.

Microsoft's steps for scheduled send don't mention checking for a reply first. If they answer before then, cancel the scheduled message yourself. Steps: Delay or schedule sending email messages.

3. Auto-reply with a rule

Classic Outlook has a rule action called reply using a specific template. It answers messages you receive. Microsoft notes Outlook must stay running for the rule to send.

That is an auto-reply, not a follow-up. It can't reach someone who never wrote back. Steps: Use rules to create an out of office message.

A follow-up routine using only Outlook

If you want to stay inside Outlook, this routine works. It just takes your time each week.

  1. Flag every email that needs an answer. Use This Week or Custom so the reminder lands two to three business days out.
  2. Save your follow-up as a template. Keep it short: one line of context, one easy question.
  3. When the reminder fires, open Sent Items. Check whether they replied. If they did, clear the flag.
  4. If they didn't, write the follow-up. Change one thing from the first email, so it's not a repeat. Flag it again for the next touch.

The weak spot is step 4. The reminder fires, and the writing still has to happen. Yet the average lead takes 5 to 8 touches (RAIN Group, 2018). For what to say each time, see follow-up email after no response.

Follow up from Outlook until they reply

Capstone Outreach does the writing and the remembering. You keep the decision.

  1. Connect Outlook once. Sign in with your Microsoft account. On a work or school account, your IT admin may need to approve the connection.
  2. Start from a conversation. Finish a meeting from your Outlook calendar, scan a business card, or add a voice note. Capstone drafts the follow-up from what you talked about.
  3. You approve it. Read the draft, edit if you like, and approve. Nothing sends until you do.
  4. It sends from your own Outlook. The email goes out from your address and shows in your Sent Items. Replies come back to your inbox.
  5. The next one is already written. When they don't reply, the next follow-up goes out on schedule.
  6. A reply stops it. If they answer, the follow-ups stop. If they're out of office, it waits until the day they're back.

Some people answer a text faster than an email. Capstone can draft those too. Texts and WhatsApp messages queue on your phone, and you send them from your own number.

Frequently asked questions

Can Outlook automatically send a follow-up email if there is no reply?

Not on its own. Outlook can flag a message with a reminder, schedule a message to send later, and auto-reply to mail you receive with a rule.

None of these checks whether someone replied and then sends the next email. For that you need a tool connected to your Outlook account.

How do I set a follow-up reminder in Outlook?

In Outlook for Microsoft 365 on Windows, before you select Send, go to the Message tab and select Follow Up in the Tags group. Pick Today, Tomorrow, This Week, Next Week or Custom.

In Outlook.com, hover over a message and select the flag. With a Microsoft 365 account you can right-click the flagged item and select Add reminder. The reminder tells you to follow up. It does not send anything.

Does an automatic follow-up come from my own Outlook address?

With Capstone Outreach, yes. You connect your Outlook account once, and each approved follow-up is sent through it and saved to your Sent Items. Replies come back to your own inbox.

Will it keep emailing someone after they reply?

No. In Capstone Outreach a reply stops the follow-ups for that person. An out-of-office reply pauses them until the day the person is back.
