Every feature, as the problem it solves
Capstone Outreach is the personal CRM that writes your check-ins. Below, each of its 32 features is paired with the frustration it removes and what your day looks like instead. One plan, every feature, $25 a month after a 14-day free trial.
A study of 20 million LinkedIn members found that acquaintances, more than close friends, led to new jobs (Science, 2022). Capstone keeps those people warm. You approve every message, and it goes from your own email or phone.
A payment method starts the trial; no charge for 14 days; cancel anytime. Also on Android.
What problems does Capstone Outreach solve?
The short version: relationships don't end, they fade, in the months between conversations. Each row is one place that happens.
| The problem | With Capstone Outreach |
|---|---|
| Nobody decides to lose touch. You get busy for a quarter, and a warm contact becomes a stranger. | Every relationship on a rhythm you pick, with the check-in already written when it's due. |
| The card makes it home. What you talked about doesn't. | Every person is captured with where you met and what you discussed, from cards, calls and your phone. |
| Six months later you can't recall your last conversation. | One timeline per person, and you can ask what you promised. |
| Reaching out after months of silence feels awkward, so you don't. | Messages that pick up where you left off, by email, text or WhatsApp, in your voice. |
| People change jobs and the relationship walks out with them. | When an auto-reply names a replacement, they're added and the outreach moves to them. |
| When you do have an ask, one message rarely gets the answer. | Sequences write every step up front and stop when they reply by email. |
| Software writing to your network on its own is a risk. | Nothing sends until you approve it, from your own inbox and your own phone. Autopilot, off until you turn it on, can send your check-ins for you. |

Meet: capture the person and the conversation
Business card scanning
The problemThe card makes it home. What you talked about doesn't.
With Capstone OutreachSnap the card and the contact is saved with where you met and what you discussed, so a year from now you still know why they matter. Already in your contacts? You're told, instead of getting a duplicate.
Digital cards and NFC
The problemMore people share a QR code or tap a card now, and those contacts end up stuck in someone else's app.
With Capstone OutreachScan their QR code or, on supported phones, tap their NFC card, and they land in your contacts the same way a paper card does.
AI notetaker
The problemTaking notes means half-listening to the person in front of you.
With Capstone OutreachThe notetaker joins your Zoom, Google Meet, Microsoft Teams or Webex calls, records and transcribes, and the notes stay on their timeline for the next conversation, months later.
Meetings become contacts
The problemPeople you meet on calls never make it into your contacts, so a year later there's no record you met.
With Capstone OutreachConnect Google Calendar, Outlook or Calendly and the people you meet with are added for you, with the meeting on their timeline.
Phone and WhatsApp import
The problemYour longest relationships live in your phone and WhatsApp, outside any CRM.
With Capstone OutreachBring in your whole address book at once, matched by email or phone so nobody is duplicated, and import WhatsApp chats onto each person's timeline so the history comes with them.
Your digital card and booking link
The problemSwapping details and finding a time to meet takes three rounds of messages.
With Capstone OutreachShare one card with a QR code and a booking link that reads your real calendar. They pick a time, and the meeting is created.
Remember: everything, even a year later
One timeline per person
The problemSix months on, you can't recall what you last talked about, and it shows.
With Capstone OutreachEvery email, text, call and meeting on one timeline, plus lead tiers, tags and search. It fills itself in as you work, so there's no separate CRM to keep updated.
Ask what you promised
The problem"Did I promise her that intro?" means digging through old notes.
With Capstone OutreachAsk, and the answer comes from your meeting notes and history.
Private notes
The problemSome of what you know about people should never go anywhere else.
With Capstone OutreachNotes you mark private stay private: never shared, and never sent to the AI.
Stay in touch: know who's due, with the message already written
Keep-in-touch reminders
The problemRelationships fade between deals because nobody reaches out when there's nothing to ask for.
With Capstone OutreachPick a rhythm per person, or for hundreds at once: weekly to every three months, by email, text, WhatsApp or a call reminder. When someone's due, the check-in is already written from your history with them. If you've talked since, it waits a full cycle instead of nagging you.
Autopilot, off until you turn it on
The problemThe check-in is written and waiting, and the tap it needs from you never comes.
With Capstone OutreachTurn on Autopilot and your keep-in-touch check-ins send on their own when they're due, and a follow-up drafted from a recorded meeting sends two hours later unless you edit or reject it. It only runs where Capstone can see replies, never for anyone tagged Sensitive, and every send is logged. Off by default.
Going quiet
The problemYou don't notice someone has gone cold until you need them.
With Capstone OutreachSee who you haven't been in touch with in a while, before reaching out feels awkward.
Daily follow-up list
The problemNew contacts slip away before the first message, so there's no relationship to keep.
With Capstone OutreachEvery day: the people you met recently but haven't written to, by email, notification and in the app, with one button to start.
Built-in assistant
The problemManaging hundreds of relationships means clicking through screen after screen.
With Capstone OutreachType or say what you want, like "put my investors on a quarterly check-in" or "text Dana tomorrow at 9", and it's done, with a card showing what changed.
Reconnect: pick up where you left off
AI-written emails
The problemReaching out after months of silence feels awkward, so you don't.
With Capstone OutreachThe draft picks up from what you last talked about, in your voice and with your signature, ready to edit and send.
AI-written texts and WhatsApp messages
The problemThe people who would answer a text never get one, because typing it out is one more task.
With Capstone OutreachTap Draft text and a short, personal text or WhatsApp message is ready to send from your own number. Add a line like "thanks for coffee, send the deck" to steer it.
Re-engage
The problemPeople who never replied sit in limbo.
With Capstone OutreachFresh drafts for anyone who finished a sequence without answering.
Hand-off when someone leaves
The problemPeople change jobs, and your relationship with their company leaves with them.
With Capstone OutreachWhen their auto-reply says they've left and names a replacement, outreach to them stops and that person is added and gets it instead.
Out-of-office pauses
The problemMessages land in empty inboxes while people are away, and get buried by the time they're back.
With Capstone OutreachAn out-of-office reply pauses outreach until the day they return.
When it's time to ask
Follow-up sequences in any channel
The problemWhen you do have an ask, one message rarely gets the answer.
With Capstone OutreachTwo to five steps by email, text, WhatsApp or a mix, written up front, for one person or a whole group you select.
Replies stop the follow-up
The problemThe worst follow-up lands after they've already said yes.
With Capstone OutreachAn email reply stops their follow-ups on its own. Outlook tells Capstone within seconds, and every inbox is checked every few minutes and again right before each email goes out.
They replied, and texts logged for you
The problemReplies by text, call or in person are invisible to email tools, so the follow-ups keep coming.
With Capstone OutreachTap They replied and their follow-ups and queued texts stop, logged on their timeline. On iPhone, texts from your contacts can be logged automatically.
A follow-up after every meeting
The problemRecap emails get written from memory, days later, if at all.
With Capstone OutreachRecent meetings show up with a one-tap follow-up for each person. Calendly meetings and recorded calls get one drafted automatically.
It's always you reaching out
Sends from your own Gmail or Outlook
The problemA check-in that reads like a newsletter undoes years of goodwill.
With Capstone OutreachEvery email goes from your own Gmail or Outlook with your signature, and replies come straight back to your inbox.
Texts from your own phone
The problemTexts from a bulk number read like spam and get ignored.
With Capstone OutreachThe message opens in Messages or WhatsApp already typed. One tap, and it comes from the number they already know.
You approve every message
The problemSoftware writing to your network on its own is a risk you can't take with relationships.
With Capstone OutreachNothing reaches anyone until you approve it, unless you turn on Autopilot for your own check-ins. Drafts from the assistant, your AI agent or the notetaker wait for you, and you can clear many at once.
Scheduled sends
The problemThe best time to send is rarely the moment you're writing.
With Capstone OutreachSchedule any email or text for the day and hour you choose, and it goes out or shows up then.
Connect Claude, ChatGPT or any MCP agent
The problemThe AI you already pay for can't see or act on your contacts.
With Capstone OutreachConnect it once. It reads meeting notes, finds who has gone quiet and proposes check-ins. Its sends wait for your approval unless you give it the send permission, and even then you can set the workspace to review everything agents send, with a daily cap and a log of every call.
With your team, without losing your own relationships
A log of who did what
The problemWhen teammates, an assistant and AI agents all act on your contacts, nobody can say who sent what.
With Capstone OutreachEvery proposal, approval, send, hold and reply is logged with who did it: a person, the assistant or an AI agent. Owners read the log on the Organization page and set how much AI agents may do on their own.
On your phone, where you meet people
iPhone and Android apps
The problemYou meet people away from your desk.
With Capstone OutreachScan, draft, send texts, set keep-in-touch rhythms and approve drafts from your phone. One account across the web, iPhone and Android.
Notifications on iPhone
The problemA reply, or a check-in you meant to send today, sits unseen until you happen to open the app.
With Capstone OutreachGet a notification when someone replies, a text is ready to send, a draft is waiting or a check-in is due, and choose which ones you want. (Android notifications are coming.)
Why one app instead of five?
One place for every relationship
The problemWithout it, keeping a network warm takes a card scanner, a notetaker, a CRM, a reminder app and an email tool, and you're the glue moving people between them. Relationships fall through the hand-offs.
With Capstone OutreachCapture, memory, reminders, writing and sending work together, so the person you met last spring hears from you at the right time, about the right thing, without you copying anything anywhere.

Frequently asked questions
What is Capstone Outreach?
Capstone Outreach is a personal CRM for people whose network is their job. It remembers everyone you've met and what you talked about, tells you who's due for a check-in, and writes the message in your voice; you approve it and it goes out from your own Gmail, Outlook, phone or WhatsApp. Check-ins wait a full cycle after you've talked, email replies stop follow-up sequences, and out-of-office replies pause them. It runs on the web, iPhone and Android.
Does Capstone Outreach send messages without my approval?
Not unless you turn on Autopilot. By default nothing reaches a contact until you approve it: emails go out from your own Gmail or Outlook once approved, and texts and WhatsApp messages are always sent by you from your own phone, with the message already typed. With Autopilot on, your keep-in-touch check-ins and meeting follow-ups send on their own where Capstone can see replies, never to anyone tagged Sensitive, and every send is logged.
Can Capstone Outreach send text messages and WhatsApp messages?
It writes them and gets them ready, and you send them from your own number or WhatsApp account with one tap. Phones don't let any app send texts or WhatsApp messages on its own, which also means your contacts see a message from you, not from a bulk number.
What happens when someone replies?
An email reply stops that person's follow-ups automatically: Outlook tells Capstone within seconds, and every inbox is checked every few minutes and again right before each email goes out. An out-of-office reply pauses them until the return date. For replies by text, call, WhatsApp or in person, tap They replied, and on iPhone texts from your contacts can be logged automatically.
Do I need a separate CRM?
No. Every contact with every email, text, call and meeting on one timeline, plus lead tiers, tags and search, is included. You can import a CSV or your phone's contacts to start.
Does it work with ChatGPT or Claude?
Yes. Claude, ChatGPT and other MCP agents can connect to your account to read meeting notes, find contacts who went quiet and propose follow-ups. Anything an agent writes waits for your approval.
