CRM for Outlook: a personal CRM that sends from your own Outlook
A good CRM for Outlook remembers everyone you email and makes sure the next email goes out. Capstone Outreach is a personal CRM that connects to Outlook through Microsoft 365. It writes each follow-up in your voice, and once you approve it, it sends from your own Outlook.
It is not an add-in that lives inside Outlook. It works next to Outlook, on the web and on your phone. You keep reading mail where you always do.
This page covers what it does with Outlook and what it does not. It also shows how to pick the best CRM for Outlook for your work.

What Capstone Outreach does with your Outlook
You connect your Microsoft account once. After that, four things happen.
- It sends from your own Outlook. Every approved email goes out from your address, with your name on it. It shows up in your Sent Items, and replies land in your own inbox.
- It sees replies. Outlook tells Capstone about a reply within seconds. Every inbox is also checked every few minutes and again right before each email goes out. An email reply stops that person's follow-ups. An out-of-office reply pauses them until the day they are back.
- It reads your Outlook Calendar. Your meetings come in, and each person you meet with is matched to a contact. New people become contacts, with the meeting on their timeline. You can connect Google Calendar too, and the meetings are merged.
- It can join your Teams calls. The notetaker joins Microsoft Teams, Zoom, Google Meet and Webex calls. When the call ends, a follow-up draft is waiting for each person who was there.
Around that, it does the CRM part. Each person has one timeline with every email, text, call and meeting, plus your notes and where you met. You can put each person on a rhythm, from weekly to every three months. When someone is due, the check-in is already written in your voice.
What it does not do
- It is not an Outlook add-in. There is no panel inside Outlook. You open Capstone on the web or in the app.
- It does not replace your inbox. You still read and answer replies in Outlook. Capstone does not write answers to replies for you.
- It does not send on its own by default. You approve every message. Autopilot can send check-ins for you, but it is off until you turn it on.
- Texts are not sent through Outlook. Texts and WhatsApp messages are written for you, then sent from your own phone with one tap.
On a work or school account, your IT admin may need to approve the connection the first time.
How it works, day to day
- You meet someone. It might be a meeting on your Outlook Calendar, a business card you scan, or a voice note after a call.
- The follow-up is written. Capstone drafts it from what you talked about, in your voice.
- You approve it. Read it, change a word if you like, and approve. You can also pick the day and hour it goes out.
- It sends from your Outlook. The person sees an email from you, not from a tool.
- The next one is ready. If they do not reply, the next step of the sequence is already written. A sequence has 2 to 5 steps, and an email reply stops it.
- Months later, you check in again. When their rhythm comes due, the check-in is waiting. If you talked since, it waits a full cycle.
What to look for in a CRM for Outlook 365
Most of the best CRM software for Outlook can link to your account. The real question is what it does once it is linked. Check five things:
- Does it send from your own address? Mail from your own Outlook looks like you, because it is you.
- Does it see replies? A follow-up that lands after they already said yes is worse than none.
- Does it read your calendar? The people you meet with should become contacts without typing.
- Does it make you log things? If you have to copy every email into it, you will stop.
- Does it work on your phone? Many follow-ups start right after a meeting, away from your desk.
Outlook on its own vs. Outlook with Capstone Outreach
| Compared on | Outlook on its own | Outlook with Capstone Outreach |
|---|---|---|
| Who you know | A contact card with a name and email | One timeline per person: emails, texts, calls, meetings, notes |
| Remembering to follow up | A flag and a reminder you set | A rhythm per person; it shows who is due and who went quiet |
| Writing the follow-up | You, from scratch | Written in your voice from your notes and last talk |
| Sending | You, by hand | From your own Outlook, after you approve |
| When they reply | You check and cancel by hand | An email reply stops the rest; out of office pauses it |
| Texts and WhatsApp | Not part of Outlook | Written for you, sent from your own phone |

The best CRM for Outlook, honestly
The best CRM for Outlook is the one that fits your work. Three honest options:
- Outlook on its own. Fine for a handful of people. Flags remind you, but you still write and send each email.
- A team sales CRM. The right pick if a sales team needs deal stages, forecasts and reports. Someone has to keep it up to date.
- A personal CRM like Capstone Outreach. The right pick if you are one person who has to stay in touch with many people. It remembers them, writes the email, and sends it from your Outlook after you approve.
A quick test: think of ten good conversations from last month. If you can name them but are not sure you followed up, you need the third kind. See the best personal CRMs, compared.
Keep Outlook. Add the memory and the follow-up. Capstone Outreach remembers each person and writes the next email in your voice. It sends from your own Outlook after you approve.

Frequently asked questions
What is the best CRM for Outlook?
It depends on the job. If a sales team needs deal stages and forecasts, pick a team sales CRM. If you are one person who needs to keep in touch with a lot of people, a personal CRM fits better. Capstone Outreach remembers each person, writes the follow-up in your voice, and sends it from your own Outlook after you approve.
Is there a CRM for Outlook 365?
Yes. Capstone Outreach connects to Outlook through Microsoft 365. You sign in with your Microsoft account once. After that, approved emails go out from your Outlook address, and your Outlook Calendar meetings come in. On a work or school account, your IT admin may need to approve the connection.
Is Capstone Outreach an Outlook add-in?
No. It does not add a panel inside Outlook. It works next to Outlook, on the web, iPhone and Android. You keep reading and answering mail in Outlook, and Capstone sends the follow-ups through your account.
Will the emails come from my own Outlook address?
Yes. Each approved email is sent through your Outlook account and saved to your Sent Items. Replies come back to your own inbox, the same as any email you send.
Does it know when someone replies in Outlook?
Yes. Outlook tells Capstone about a reply within seconds. Every inbox is also checked every few minutes and again right before each email goes out. An email reply stops that person's follow-ups. An out-of-office reply pauses them until the return date.
Does anything send without my approval?
Not by default. Nothing reaches a contact until you approve it. Autopilot can send keep-in-touch check-ins on its own, but it is off until you turn it on.
How much does it cost?
It is $25 a month on the web after a 14-day free trial. In the iPhone and Android apps it is $24.99 a month.
