What changes when Claude is connected

Set it up once, then stop

Say "record my external meetings and draft the follow-ups." The notetaker joins your calls by itself, and finished drafts appear in your review queue. You talk to Claude about meetings again only when something is unusual.

Memory of every conversation

"What did I promise Dana on pricing?" Claude reads the dated meeting notes on Dana's record and answers. Your CRM becomes searchable from the place you already think.

Proposes, never sends

Claude drafts and revises. You approve, in the app or on your phone, and the message leaves from your own Gmail or Outlook. Approval is deliberately impossible for an agent.

Set up in claude.ai

Uses Claude's built-in connectors and an OAuth sign-in. No token to copy.

  1. Settings → Connectors → Add custom connector. Available on Claude Pro, Max, Team and Enterprise.
  2. Name it "Capstone Outreach" and paste the URL https://www.capstoneoutreach.com/mcp/, then click Add.
  3. Sign in and choose what Claude may do. "View contacts", "Add and update contacts", "View campaigns", "Propose follow-ups" and "View meetings" are pre-checked. Tick Record meetings if you want Claude to be able to send the notetaker; it is off by default because recordings count against your plan.
  4. Start a new chat with the connector enabled and ask "What's my recording status?" You should see your recordings used this month and your monthly allowance.

To change what Claude is allowed to do later, remove and re-add the connector. To cut it off entirely, revoke its token under Settings → API tokens in Capstone Outreach.

Set up in Claude Code

For the terminal and the desktop app. Mint a token first in Capstone Outreach under Settings → API tokens, with at least meetings:read, meetings:record, contacts:read and drafts:write.

Things to ask

Written the way people actually phrase them. Claude picks the right tool.

  • "Record all my external meetings from now on."Turns on auto-record. Drafts appear after each call without you asking again.
  • "Record my 2pm with Dana, she's on my personal Zoom, not the invite."Sends the notetaker to a specific link and tells you how many recordings you have left.

What Claude can do, and what it needs permission for

Each capability is gated by a scope you grant on the consent screen. Grant fewer and Claude simply cannot do those things.

Limits and safeguards

Recordings are metered

20 a month on Starter, 200 on Pro. Claude is told how many are left after each recording and will not spend past the allowance.

Internal meetings are skipped

Auto-record ignores meetings where everyone is on your own domain. Your standup never costs a recording.

Consent stays with you

You accept the recording notice once in Settings. Claude can toggle auto-record afterwards but can never establish consent itself.

Everything is logged and revocable

Each action is recorded against the connector's token. Revoke it in one click and Claude is out immediately.

Frequently asked

Can Claude send email from my account?

No. Claude proposes drafts and can record meetings. Approving a draft, which is what makes it send, is only possible for a signed-in person, and approved messages go out from your own Gmail or Outlook.

Will it record my internal meetings?

No. Auto-record skips meetings where every attendee shares your company domain. You can still ask Claude to record a specific meeting by its link.

Does connecting Claude cost extra?

No. It is included on both plans. Only meeting recordings are metered.
