It takes 5 to 8 touches to get a first meeting with a new lead. Top sellers need 5, the rest need 8. Source: RAIN Group, Top Performance in Sales Prospecting, 489 sellers, 2018. How many are you doing?

A text the same day as the call gets read within minutes. An email the next week gets filed.

These twelve texts cover the moments that decide a sale: after a call, a demo, a proposal, a showing or an open house, and with clients you already have.

Each one does a single job, and each one ends with a question that takes a word to answer.

When a sales follow-up should be a text

Text when the person gave you their number, or texted you first. Text when the message is short and needs a quick answer: a time, a yes, a price check.

Use email for anything long, like a proposal, a contract or a recap with links. Many sellers do both: the document goes by email, and a text says it is there.

The cadence: three texts, one week

TouchWhenJob of the text
Text 1Same dayThank them, deliver what you promised, ask for the next step
Text 2Day 2 to 5Add one useful thing: an answer, a smaller option, a video for their boss
Text 3Day 6 to 7The last touch: make "not now" easy to say, then stop

If they reply at any point, the cadence ends and the conversation starts. If they never reply, move to email or a check-in a month later.

After a sales call

One message is easy. Hundreds of people, all year, is the hard part. Capstone Outreach puts everyone you know on a rhythm you pick, from weekly to every three months. When someone is due, a message like these is already written in your voice from your history with them. You approve it, and it goes from your own email or phone. See how it works.

Everyone on a rhythm. Who is due, and when. Recorded in the app on a demo account.

1. Same day: thanks and the next step

Hi [Name], it's [You] from [Company]. Thanks for the call today. As promised, here's [the link / the price for 3 locations]. Does [Thursday] work for the next step?

Why it works: It keeps the promise you made on the call and asks for one small, specific yes.

2. Day two: the answer you owed them

Hi [Name], [You] here. You asked about [the contract length / setup time]. Short answer: [one line]. Happy to walk through it if that helps.

Why it works: It proves you listened, and it gives them a reason to reply.

After a meeting or demo

3. Same day: the one thing they liked

Hi [Name], great meeting today. You seemed to like [the reminder feature / the reporting] most. I'll send a short recap by email so it's easy to share with [their boss].

Why it works: It names their favorite part and makes it easy to sell inside their company.

4. Day three: help them sell it internally

Hi [Name], quick one: would a two-minute video for [decision maker] help? I can send it today so you don't have to explain it from scratch.

Why it works: Most stalls happen when your contact has to pitch you to someone else.

After a proposal

5. Day two: did it land?

Hi [Name], it's [You]. The proposal for [project] went to your email yesterday. Any questions I can answer before you review it with the team?

Why it works: It confirms delivery and invites questions without pressure.

6. Day five: one useful change

Hi [Name], one thought on the proposal: we could start with [a smaller first phase / one location] and expand after 30 days. Want me to send that version?

Why it works: It removes a risk instead of repeating the ask.

Real estate: showings and open houses

7. After a showing

Hi [Name], [You] here. Thanks for touring [address] today. You mentioned [the yard / the commute]. Want me to pull two more homes like it for Saturday?

Why it works: It turns one showing into the next appointment.

8. After an open house

Hi [Name], it's [You], the agent at [address] this afternoon. You asked about [HOA fees / the school]. The answer is [one line]. Want the disclosure packet?

Why it works: Open house visitors are warm for about a day. Answering their question gets the reply.

Existing clients

9. The check-in with a reason

Hi [Name], [You] from [Company]. It's been [three months] since [the install / closing]. How is [it] working? If anything's off, I'll fix it this week.

Why it works: A check-in with a reason gets answered. 'Just checking in' does not.

10. The renewal heads-up

Hi [Name], your [plan / contract] renews on [date]. Nothing to do if you're happy. If you want to change anything first, reply here and I'll set it up.

Why it works: No client likes a surprise renewal. Telling them early builds trust.

11. The referral ask

Hi [Name], glad [it] is working well. If you know one person who'd want the same, I'd be grateful for an intro. Happy to send a short note you can forward.

Why it works: Ask right after good news, and make the ask easy to say yes to.

The last touch

12. After two texts with no reply

Hi [Name], last note from me on [topic]. If now's not the time, a quick 'not now' is all I need. If it's still live, I'm here.

Why it works: It hands them control, and it is often the message that finally gets a reply.

Three texts per lead is a lot to track Set a three-text follow-up for each lead after a showing or a demo. When they text back, one tap on They replied stops the rest. You approve each text first.

Frequently asked questions

How soon should you send a sales follow-up text?

The same day as the call, meeting or showing, while they still remember you. Send it within business hours, between 9am and 6pm in their time zone.

How many follow-up texts are too many?

Three texts over about a week is the ceiling for a lead who has not replied: one the same day, one with something new on day two to five, and a last touch.

After that, switch to email or a check-in a month later.

Is it professional to text a client?

Yes, if they gave you their number or texted you first. Keep it short, sign it with your name and company, and use email for anything long, like a contract.

What should a follow-up text to a client say?

One reason for writing, one useful thing, and one easy question. For example: thanks for the call, here is the price you asked for, does Thursday work?

Do real estate agents follow up by text?

Most do, because buyers read texts within minutes. The best agents text the same day after a showing or open house, and answer the question the buyer asked in person.

How many follow-ups does it take before a lead responds?

Sales research puts it at 5 to 8 touches across channels. In RAIN Group's Top Performance in Sales Prospecting study of 489 sellers (2018), top performers needed 5 touches to get a first meeting and the rest needed 8.
