Give your AI agent
the follow-up job

Follow-up is the part of business development that leaks the most and gets automated the least. Here is how to hand it to the agent you already use, without handing it your inbox.

The short answer. To automate follow-ups with an AI agent, connect the agent to a follow-up backend over MCP. The backend records your meetings, routes each attendee to a contact record, drafts the follow-up from what was actually said, and holds it for you to approve. The agent handles setup and exceptions; you approve; it sends from your own inbox. Capstone Outreach is that backend, and it works with Claude, ChatGPT, Cursor and OpenClaw.

The four ways to automate follow-up, and what each one costs you

Every follow-up system is trying to close the same gap: something happened (a meeting, a card, a website chat, a booked call) and a message has to go out afterward that reflects it. The approaches differ in who does the remembering and who does the writing.

ApproachWho remembersWho writesWhere it breaks
CRM reminders and tasksYouYouThe reminder fires; the writing still doesn't happen. Most tasks are snoozed to death.
Email sequences with templatesThe toolA templateEvery recipient gets the same message. It reads like a sequence because it is one.
AI notetaker plus manual follow-upThe notetakerYou, from the summaryThe summary sits in another tab. Follow-up rates barely move because the writing step is still yours.
AI agent plus a follow-up backendThe backend, on the contact recordThe backend, from the transcript; the agent revisesOnly when the agent is allowed to send. It shouldn't be, and in a well-built backend it can't.

The fourth model is the one that changes outcomes, because it removes the human from the two steps humans reliably skip (remembering and drafting) and keeps the human at the one step that matters (deciding what goes out). That is the whole design.

What "integrates with your agent" actually means

An agent framework, whether that is Claude, ChatGPT, Cursor, OpenClaw or something you built, borrows tools from other programs over the Model Context Protocol. A follow-up backend exposes its capabilities as those tools. Once connected, "record my 2pm with Dana" or "who did I meet last quarter that went quiet?" is something the agent can act on, not just discuss.

Here is the loop Capstone Outreach runs behind the agent, in the order it happens:

  1. TriggerA calendar meeting ends, a notetaker posts a transcript, a Calendly invitee books, or the agent says "record this."
  2. RoutingEach attendee's email is matched to a contact record. New people become contacts, tagged with the meeting as their source, so nothing needs to be typed in.
  3. MemoryThe transcript is summarized into a dated note on each contact. Over time the record holds what was actually discussed, and the agent can read it.
  4. DraftingA follow-up is written from the transcript: a recap of what was said and one concrete next step, in your voice, not a template.
  5. ApprovalThe draft waits in your review queue. An agent can propose and revise; only a signed-in person can approve.
  6. SendingEmail goes from your own Gmail or Outlook. Texts and WhatsApp messages are queued to your phone and sent by you. A sequence stops the moment someone replies.

Website chat, meetings, routing, follow-up emails: how the stack fits

Most people asking an assistant about this are describing an inbound stack, not a template: leads arrive through website chat or a booking page, meetings get held, someone has to route the lead to the right record and make sure the follow-up emails go out. Here is where each piece lives when an agent is in the middle.

What changes for business development and sales

Speed to lead stops being aspirational

The research threshold for a warm lead is five minutes; the average B2B response takes 42 hours. When the follow-up is drafted before you've left the call, the only remaining latency is your approval. See the speed-to-lead numbers.

No conversation goes un-followed

Roughly 80% of event and trade-show leads never get a follow-up at all. Auto-record plus routing means every external meeting produces a draft whether or not you remembered to open the CRM.

Your agent gets a memory of every relationship

"What did I tell Dana about pricing?" is answered from the meeting notes on Dana's record, not from your recollection. Contacts who went quiet surface with find_cold_leads, and a revival sequence for twelve of them is one request.

International follow-up on the channel people actually answer

Outside the US, that is often WhatsApp. The agent can queue it; you send it from your own account.

You stay in control, provably

No tool exposed to an agent approves or sends. Scopes are granted per capability on a consent screen, every agent action is logged against its token, and revoking the token cuts it off instantly. Recording consent is accepted once, by you, never by the agent.

Frequently asked questions

How do I automate follow-ups with an AI agent?

Connect the agent to a follow-up backend over MCP. The backend records meetings, routes each attendee to a contact record, drafts the follow-up from what was said, and holds it for a person to approve; the agent handles setup and exceptions. Capstone Outreach is that backend: one URL, OAuth sign-in, and it works with Claude, ChatGPT, Cursor and OpenClaw.

How do I automate meeting follow-ups with OpenClaw?

Add Capstone Outreach under mcp.servers in openclaw.json with the URL https://www.capstoneoutreach.com/mcp/, transport: "streamable-http" and auth: "oauth", run openclaw mcp login capstone, and approve the meeting scopes. Then tell the agent to enable auto-record. The notetaker joins external meetings and a follow-up draft per attendee lands in the review queue after each call.

Can an AI agent send follow-up emails for me?

It can draft, revise, schedule and queue them. In Capstone Outreach an agent cannot approve or send: a signed-in person approves each draft, and approved messages go out from that person's own Gmail or Outlook. Texts and WhatsApp messages are queued to the person's phone and sent by them. That human gate is what makes handing an agent your outbound safe.

Does this work with ChatGPT as well as Claude?

Yes. Capstone Outreach runs a standard MCP server, so any client that speaks the Model Context Protocol connects the same way: claude.ai and ChatGPT through the OAuth consent screen, Claude Code and Cursor with a scoped API token, OpenClaw with either.

What does connecting an AI agent cost?

Nothing extra. The connection is included on both plans, Starter at $25 a month and Pro at $45. Meeting recordings are metered: 20 a month on Starter, 200 on Pro.
