Give every attendee a follow-up machine

Your event is judged by what happens in the week after it. Capstone Outreach gives your attendees, your team and your exhibitors a way to turn the conversations in your room into follow-ups that actually get sent.

Share one join link. Contacts saved during your event are tagged with it, a follow-up is drafted for each person, and you see a scorecard of what happened next. Every message sends from the sender's own email or phone, and only after they approve it.

What organizers and attendees get

For you, the organizer

  • An event with a join page at /j/your-event, showing your organization's name, the event, its dates and description.
  • A list of who joined through your link.
  • Your attendee list uploaded from a CSV, tagged with the event, ready for a pre-event or post-event follow-up sequence.
  • Event Mode: every contact tagged with the event, grouped hot, warm and cold, with a follow-up drafted for each.
  • A scorecard: captured, emailed, replied, meetings booked and texts sent, with rates and a hot/warm/cold breakdown.

For your attendees

  • Scan a paper business card or a QR digital card; the contact is saved and tagged with your event.
  • A follow-up drafted from the card and their note, sent from their own Gmail or Outlook, or queued as a text or WhatsApp on their phone.
  • A booking link they can drop into a follow-up so people pick a time.
  • Reminders for the people they added but haven't followed up with yet.
  • Their contacts stay theirs, in their own account.

How it works

  1. Create the event. Turn on Event organizer mode in Settings, then add a name, description, start and end dates and an event tag. You get the join link.
  2. Share the link. Put it in the confirmation email, on a registration-desk QR code or on a slide. Attendees sign in or create an account and press Join. You can also upload your registration list as a CSV.
  3. Capture in the room. Between the event's start and end dates, every contact a member saves, by card scan, QR scan or by hand, from the web or the iPhone and Android apps, is tagged with your event.
  4. Follow up and measure. Follow-ups are drafted for each person and sent after approval. Replies stop the follow-ups for that person. Your scorecard shows how many were contacted, replied and booked a meeting.

Frequently asked questions

Can I see the contacts my attendees capture?

No. Each attendee's contacts and messages stay in their own account. You see who joined your event through the join link, and your attendee list and scorecard cover the contacts tagged with the event in your own account: your team's captures and any attendee list you upload.

Does it replace my registration or ticketing platform?

No. Keep your registration, ticketing, badge and membership tools. Capstone Outreach handles what happens after the handshake: capture, one-to-one follow-up, and whether it got a reply.

Do messages send automatically?

No. Every follow-up waits for the sender to approve it. Emails send from their own Gmail or Outlook; texts and WhatsApp messages open on their phone with the message typed, and they press send.

Does it work on phones?

Attendees can capture with the iPhone and Android apps, and those contacts are tagged with your event. The organizer tools themselves (events, attendees, Event Mode and the scorecard) are on the web app.

What does it cost?

One plan: $25 a month on the web after a 14-day free trial, with a payment method required to start. Organizer tools are included and turned on in Settings. For a team or attendee access, book a call.
