Car Sales Thank You Messages That Earn Referrals

By Shawn Gregoire, founder of Capstone Outreach · Updated October 2026

Thank a customer for their car purchase with a short, personal text on delivery day. Follow it with a handwritten card within the week. Each one should name the car and one detail from the sale. The key: make it about their new car and their life, not your survey score or next sale. Example: 'Congrats on the [model], [Name]. Enjoy that first road trip to [place they mentioned].'

Most car buyers hear from the dealer again only when it wants something. That could be a survey, a service visit or a trade-in offer. A salesperson who sends a real thank-you stands out. That's the person buyers remember when a friend asks where to buy, or when it's time for the next car.

What lands is a detail that proves you listened. Think of the car seat you helped install, the commute they described or the color they waited for. Keep the first messages free of asks. Earn the referral by being useful after the sale. Then ask once it feels natural.

1. Delivery-day evening text

Hi [Name], it's [Your name] from [Dealership]. Thank you again for today! Hope the [model] is treating you well already. If anything pops up, even small stuff like phone pairing, text me here anytime.

Why it works: An evening text on delivery day feels personal. It gives them a direct line before they hit any confusion.

2. Handwritten card mailed after delivery

Dear [Name], Thank you for choosing me to help you find your [model]. I hope it makes [specific detail, e.g. the drive to your daughter's soccer games] a lot more fun. It was a pleasure working with you. [Your name] [Phone]

Why it works: A handwritten card is rare in car sales. It often stays in the glove box or on the fridge.

3. Follow-up email a few days after the sale

Subject: How's the new [model], [Name]?

Hi [Name], Thank you again for buying your [model] with me. I hope the first few days have been great, and that [specific detail they cared about, e.g. the heated seats] are living up to the hype. A few people have questions after the first week about [common feature, e.g. the adaptive cruise control or app setup]. If that's you, reply here or call me at [phone] and I'll walk you through it. Enjoy the drive, [Your name] [Dealership]

Why it works: Answering the questions new owners usually have shows you care about them after the paperwork.

4. First-time car buyer, text

[Name], congrats on your very first car! That's a big milestone. Thanks for trusting me with it. Remember, I'm your person for any questions, from insurance cards to tire pressure. Drive safe!

Why it works: Cheering the milestone and offering help with the basics builds loyalty with a buyer who may come back for years.

5. Family buying a bigger vehicle, card or email

Subject: Congratulations on the [model]

Hi [Name] and [Partner name], Thank you for choosing your [model] with me. I know finding something that fits [number] kids, a stroller and [specific detail, e.g. the dog] was the whole point, and I hope it makes weekends a lot easier. If you want help adjusting the third row or installing car seats, stop by anytime and I'll do it with you. Congratulations to the whole family, [Your name]

Why it works: Naming the family's real reason for buying, and offering hands-on help, makes the thanks feel personal.

6. Repeat customer, email

Subject: Thank you for coming back, [Name]

Hi [Name], This is the [second or third] car you've bought with me, and I want you to know how much that means. Thank you for your loyalty. I still remember you driving off in the [previous model] back in [year]. I hope the new [model] gives you just as many good miles. As always, call me directly for anything, and I'll make sure you're taken care of. Gratefully, [Your name]

Why it works: Recalling their last purchase shows the bond goes beyond one sale.

7. Two-week check-in with first service reminder, text

Hi [Name], [Your name] here. Two weeks in, how's the [model]? Any questions so far? Your first service is around [mileage or date]. When it's close, text me and I'll help you book it.

Why it works: Offering to handle the first service turns a reminder into a favor. It keeps you in touch with the customer.

8. Asking for a referral after they're clearly happy, text

[Name], glad the [model] has been great! If a friend or family member is ever shopping, I'd be honored if you passed along my number. I'll take care of them the same way. Thanks again!

Why it works: Asking only once they've said they're happy, and promising the same care, makes the referral feel safe.

9. Customer who had a difficult purchase, email

Subject: Thank you for your patience, [Name]

Hi [Name], Thank you for sticking with us through [specific issue, e.g. the delayed delivery and the extra trip for the registration]. I know it wasn't the smooth experience you deserved. I'm glad you're finally in your [model]. If anything else comes up, call me directly at [phone]. I'll handle it myself rather than send you through the front desk. I appreciate your patience and your business. [Your name]

Why it works: Owning the rough patch and offering a direct line can turn an upset buyer into a loyal one.

10. Purchase anniversary, one year later (text)

Hi [Name], it's [Your name] from [Dealership]. Can you believe it's been a year with the [model]? Hope it's been good to you. Anything you need, service or questions, just text me.

Why it works: A one-year message keeps you top of mind at almost no cost. Other salespeople have long gone quiet by then.

11. Used car buyer, email

Subject: Enjoy the [year model], [Name]

Hi [Name], Thank you for buying your [year model] with me. You did your homework on this one, and I think you found a great car. A couple of things to remember: [specific detail, e.g. the remaining warranty runs until March, and the spare key is in your folder]. If anything feels off in the first few weeks, call me and we'll take a look. Thank you for your trust, [Your name]

Why it works: Practical details about their car show care. They ease the worry that often follows a used car purchase.

What to avoid

After you send it

If they don't reply to the thank-you, that's fine. No follow-up is needed. Check in once around two weeks after delivery, then again near the first service. After that, stay in touch a few times a year. Send a text on the purchase anniversary or a holiday card. Give a heads-up about a recall or service deal for their car. Keep notes on their family and driving habits. Then each message picks up where the last one left off.

Frequently asked questions

How do you thank a customer for buying a car?

Send a short, personal text on delivery day and a handwritten card within a few days. Mention the car and one detail from your talks, such as their commute or family. Offer to help with any questions. Keep the first messages free of surveys and referral requests.

What should a car salesman write in a thank you card?

Thank them for choosing you and name the car. Add one detail that shows you listened, such as where they plan to drive it. Close with your direct phone number. For example: 'Thank you for choosing me to help you find your [model]. I hope it makes [detail] more fun.'

When should I follow up after a car sale?

Send a thank-you text the evening of delivery and mail a card within a week. Check in around two weeks later to answer questions. Reach out again near the first service. Then write on the purchase anniversary and a few times a year after that, always with something useful.

How do I ask a car buyer for referrals?

Wait until they've told you they're happy, usually at the two-week check-in. Promise to take care of their friends the same way. Thank the customer yourself when a referral comes in. Then ask simply: 'If a friend or family member is ever shopping, I'd be honored if you passed along my number.'

Should I text or email a customer after a car purchase?

Text is usually best for quick, personal notes. Most buyers prefer it and read it right away. Use email for anything with details they may want to keep, like service schedules or warranty facts. A handwritten card adds the most personal touch for the main thank-you.
