Mixmax alternative for following up with people you meet

By Shawn Gregoire, founder of Capstone Outreach

Mixmax facts checked October 2026 against mixmax.com and its help center

Mixmax is the closest thing to Capstone Outreach. Both send from your own inbox, and both stop following up when someone replies.

The difference is where the follow-up starts and who presses send. Mixmax runs sequences for sales teams, and its follow-ups send themselves. Capstone starts from a business card or a conversation, and nothing sends until you approve it.

The short answer. Pick Mixmax if you run email sequences to lists of prospects and want them to send on their own.

Pick Capstone Outreach if you follow up with people you met. It drafts each follow-up from what you talked about. You approve it, and it sends from your own Gmail, Outlook, phone or WhatsApp. When they don't reply, the next one is already written.

Mixmax also records meetings. Recording, transcripts and post-meeting summaries are in its Meeting Copilot, included in Mixmax Suite. Capstone Outreach includes a notetaker for Zoom, Meet, Teams and Webex on its one plan (20 recordings a month).

What Mixmax does well

Mixmax lives inside your inbox. Its home page says it "runs every conversation you've started. Inside your Gmail." Tracking, templates and meeting scheduling all sit in the compose window.

Its sequences are built for volume. Engagement Copilot covers up to 1,500 people a month, with email, calls, tasks and LinkedIn steps in one sequence.

It syncs with Salesforce and HubSpot, and it has a free plan. For a sales team working a lead list, that is a strong setup.

Where Capstone Outreach fits differently

It starts from the person you met. Scan a business card at an event, or finish a call. Capstone drafts the follow-up from what you talked about, not from a template. It also remembers who you met, where, and what was said.

You approve every message. Mixmax pitches follow-ups that send themselves. Many people don't want an app emailing a key contact on its own. In Capstone, the draft waits for you. Approve it, and it sends.

It follows up on more than email. A lot of people answer a text or a WhatsApp faster than an email. Capstone drafts those too, and you send them from your own phone. See follow-up texts after no response.

It's built for one person, not a sales floor. Founders, consultants and anyone who meets people for a living. One plan, $25 a month, with the contact list included.

When you should stay with Mixmax

Stay with Mixmax if you run a sales team that sends sequences to lead lists. Its volume, Salesforce and HubSpot sync, dialer and LinkedIn steps are made for that job.

Stay if you want follow-ups to send on their own. Approving each message is the point of Capstone, and it is extra work if you don't want it.

And stay if the free plan covers you. Fifty people a month in a basic email sequence costs nothing at Mixmax.

Switch if most of your follow-ups are to people you met: at events, on calls, over coffee. That is the job Capstone Outreach was built for.

Follow up with everyone you meet. Capstone Outreach drafts the follow-up from your conversation. You approve it, and it sends from your own Gmail, Outlook, phone or WhatsApp. When they don't reply, the next one is already written.
